Privacy statement for job applicants
The privacy of job applicants is important to us. We take every precaution to protect your personal information.
The personal data you provide for potential employment and otherwise as part of the recruitment process will be held and processed for the purpose of the applications, and for the selection processes of the European Patent Office. For your security, the information you give will be transmitted in encrypted form and will of course be treated by the EPO as confidential.
The following personal data is collected via the online application form:
- Mandatory fields: first name, last name, gender, date of birth, place of birth, country of birth, nationality, street, postcode, city, country, telephone number, e-mail address
At this stage of the process, your personal data is collected and processed only to the extent necessary to send you an answer.
If your application is successful, this data will be used for the pre-employment screening check. Your written consent (Letter of Authorisation) will be requested beforehand.
Who has access to your information and to whom is it disclosed?
Only EPO staff members conducting recruitment procedures have access to your data. Your application is stored on an EPO server, processed and possibly also forwarded by email to the staff member responsible for responding to it.
If your application is successful, this data will be used for the pre-employment screening check and passed to an agent of the EPO's choice for verification. Your written consent (Letter of Authorisation) will be requested beforehand.
How do we protect and safeguard your information?
Inside the European Patent Office, the data can only be accessed by designated staff.
The European Patent Office has implemented technologies and security policies to protect the stored personal data of our users from unauthorised access, improper use, alteration, unlawful or accidental destruction and accidental loss. We will continue to enhance our security procedures as new technology becomes available.
How can you verify, modify or delete your information?
At page 1 (Personal details) of the online application form, you can enter a key of your choice. That will enable you to access the form if you want to modify or complete the draft before submitting it. Please remember that drafts are only saved for a maximum of 30 days.
You cannot change your application after submitting it. This is to ensure the integrity of data sent to the selection board. If you wish to modify or delete your personal data after having submitted your application please contact us.
How do we proceed with processing and deleting your personal data?
You can view, change or delete your curriculum vitae and all personal data stored in your candidate profile at any time in this job application site. In addition, you have the right to delete your user account on the applicant portal at any time via the button “Delete Profile”. Please note: You will thus withdraw from all activated and unfinished application processes.
If you do not delete your profile, your personal data will remain stored for up to twenty-four (24) months to open up other career opportunities for you at the European Patent Office starting from the last modification date or activity in the profile. Deletion of your data will happen automatically after this period. When a profile is deleted, the applicant portal retains only anonymised data for internal statistical purposes.
